Job Description

Position Summary

Under the direct supervision of SOS HGS Managing Principal, the incumbent have a responsibility for attracting, motivating, and retaining the most qualified talent by directing the administrative functions of the HR department. Due to the supervisory nature of this position, human resource managers are called upon to handle employee-related services, regulatory compliance, and employee relations, among many other tasks. He/she particularly is responsible for ensuring that business operations of the Social Business (SOS HGSs & KGs) conforms to all applicable and relevant legal frameworks and requirements of the government and SOS CV Ethiopia. He/she will ensure compliance with all applicable human resource related laws and regulations.

General Duties and Responsibilities

  • Developing and administering human resources plans and procedures that relate to company personnel;
  • Maintain continuous lines of communication, keeping HGS Managing Principal, NO Finance and Admin Coordinator and the General Manager of the Social Business informed of all critical issues;
  • To actively model and promote the values and the ethos of the school;
  • Oversee risk management and legal activities: letters of agreement, contracts & leases, preparation of minutes and memos.

Specific Duties and Responsibilities

  • To manage personnel procedures in relation to recruitment, development & training, holidays and appraisals, ensuring these are properly documented, and advise on relevant policies
  • To take a lead role in the planning, design, organization and monitoring of Administrative support systems and procedures.
  • Maintaining efficient and effective office management systems and procedures, for example filing, answering the phones, organizing electronic and other mail and correspondence.
  • Ensure the ongoing maintenance and updating of information systems and infrastructure (water pipelines, electricity, internet, building, furniture, telephone, etc)
  • To receive administrative work requests from departments in school and distribute these across the Admin team.
  • To oversee the maintenance of the school office, equipment & machine.
  • To ensure whole school photocopying requests are actioned.
  • To assist with the preparations for school events, projects and functions.
  • To respond positively with tact, sensitivity and awareness to pupils and parents in relation to duties undertaken.
  • Ensure safety and regular update of the fixed asset register, identify/ notify management assets due for disposal and participate in midyear/ annual stock counts and assets.
  • Implementing and revising a company’s compensation program.
  • Creating and revising job descriptions.
  • Conducting annual salary surveys.
  • Developing, analyzing, and updating the company’s salary budget
  • Developing, analyzing and updating the company’s evaluation program
  • Developing, revising, and recommending personnel policies and procedures.
  • Maintaining and revising the company’s handbook on policies and procedures.
    Performing benefits administration.
  • Overseeing recruitment efforts for all personnel, including writing and placing job ads.
  • Conducting new employee orientations schedule onboarding for others and follow its implementation, documentation and employee relations counseling.
    Overseeing exit interviews.
  • Maintaining department records and reports.
  • Participating in administrative staff meetings.
  • Maintaining company directory and other organizational charts.
  • Recommending new policies, approaches, and procedures.
  • Performing other job related tasks assigned by the supervisor

 

Personal Specification  

Experience and Qualifications

  • BA degree in Human Resource Management, Management, or related and adequate work experience in business enterprises.
    With a minimum of 6 (six) years of experience.
  • Experience of managing staff and associated employment issues.
  • Must be familiar with laws and regulations governing Human Resources,

Knowledge, Skills and Competencies

 

  • Relevant computer software skills and familiarity with accounting software (including, minimum, standard applications in MS Office)
