Job Description

Position: Logistics Assistant – Warehouse(Female Applicants Only)

Reports to: Logistics Coordinator

Supervision of: None

Duty station: Jigjiga

Travel: 50%

RESPONSIBILITIES
Role and responsibilities

The purpose of the Assistant position is to day to day implementation of the support functions responsibilities.

Generic responsibilities (max 10)

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work and Development plan.

  • Receive supplies and ensure that they are in good condition and accompanied with correct document
  • Maintain an open communication with all departments and liaise Addis staffs for support in the absence of supervisor.
  • Always maintain standard warehouse management and accurate data entry
  • Distribute/organize transport of material and equipment according to procedures
  • Liaise with suppliers to ensure prompt and accurate delivery of goods, services, and equipment.
  • Follow up on stock balance, share periodic stock reports to Logistic Coordinator and program/project coordinators.
  • Apply inventory management methods such as FIFO, LIFO.
  • Prepare dispatches, waybills, and donation certificates as per NRC logistics Handbook.
  • Follow up on stock project periods, expiry periods and timely reporting.
  • Maintain buffer stock balance.
  • Register and record assets as per the NRC logistics Handbook.
  • Lead the period physical verification of assets and inventory.
  • Maintain data filling system both hard copies and in the cloaud.
  • Does any other work as request by the line manager?

Specific responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

  • Generate stock and Asset Reports.
  • Warehouses and Assets.
  • Reporting on deadstock.
  • Plan, schedule and monitor transport of material/equipment according to demands and procedures
  • Implement and maintain a filing system for all assets, stock and inventory documents according to procedures.
  • Work closely with program staff, finance staff, and procurement.
  • Coordinate the receiving and distribution of goods

Context/ Specific skills, knowledge and experience:

  • At least two years’ experience in an international NGO.
  • Degree in logistics/Management/Marketing/supply chain or any other related knowledge or diploma with same field
  • Demonstrated ability to transfer knowledge to diverse people through formal and non-formal methods
  • Analytic and computer skills, including MS Office (Word, Excel, Outlook, PowerPoint, Access,
